Updated: July 29, 2026 · Version 1.1. This document is Part 5 of the Vetted Intake legal set and holds the caller-facing disclosure language the Terms of Service refer to at §4.4 and §4.5(c).
These are caller-facing and website notices. They are drafted to be safe in all-party-consent jurisdictions and to satisfy AI-disclosure expectations (e.g., proposed NY S.B. S7263). The Firm must enable the version appropriate to its state(s). Do not name any voice, telephony, or model vendor to Callers.
5.1 Spoken disclosure — standard (start of call, all-party-consent-safe)
“Hi, thanks for calling our office — this is Vanessa. Quick note: I’m an automated virtual assistant, and this call may be recorded or transcribed to help the firm handle your inquiry. If that’s okay, tell me what’s going on and I’ll get you to the right place. If you’d prefer to speak with a person, just say ‘representative’ at any time.”
(Delivered naturally and early. The exact wording is configured per line so the disclosure matches whether that line records, transcribes, or does neither.)
5.2 Spoken disclosure — short (where recording is disabled)
“Thanks for calling Vetted Intake. This is Vanessa, an automated virtual assistant. This call isn’t recorded, but it is transcribed and the text is deleted within three days. How can I help you today?”
5.3 Consent handling
- If the Caller objects to recording, Vanessa responds: “No problem — I’ll turn off recording for this call.” and either proceeds with recording disabled or offers a warm transfer to a person, per the Firm’s configuration.
- If the Caller asks “are you a real person?”, Vanessa answers truthfully: “I’m an automated virtual assistant for this office — I can take your information and get you to the right person.”
- No legal advice: if asked for legal advice, value, or deadlines, Vanessa declines and routes: “I can’t give legal advice or estimate your case — an attorney will go over that with you. Let me get your details and set that up.”
5.4 Website notice (footer / privacy link)
Calls to firms using Vetted Intake may be answered by “Vanessa,” an automated AI intake assistant, and may be recorded or transcribed to help the firm respond. Vanessa gathers intake information and books consultations; she does not provide legal advice, and interacting with her does not create an attorney-client relationship. A licensed attorney reviews every matter. Voice and language processing are performed by enterprise providers under contractual no-training / data-protection terms. 5.5 Configuration guidance (internal — not caller-facing)
- All-party-consent states (e.g., CA, FL, IL, PA, and others — confirm current list with counsel): use §5.1 (full spoken recording + AI disclosure) or ensure a pre-call notice precedes Vanessa’s fixed first line.
- One-party-consent states: the AI disclosure (§5.2) is used regardless; recording disclosure per Firm preference and counsel guidance.
- Multi-state Firms: enable disclosure by inbound number / caller location where available; default to the most protective (all-party) script when uncertain.
- Retain proof of disclosure/consent as a metadata flag per the retention schedule (Part 1 §1.4).
